Policy on Library Deposit Copies of University Publications

The University Council, on recommendation of the University Library Committee, unanimously approved the POLICY ON LIBRARY DEPOSIT COPIES OF UNIVERSITY PUBLICATIONS. This policy ensures that the University Libraries will always have available at least one copy of the various publications produced within the university.

Following is the text of the resolution as adopted by Council.

WHEREAS, Virginia Polytechnic Institute and State University is a center for research, and

WHEREAS, the knowledge generated by this research is often conveyed throughout the scholarly and scientific community by means of publications produced by the university's colleges, departments, and centers, and

WHEREAS, one of the services of the University Libraries is to collect, preserve for the historical record, and provide access to publications produced by the university, and

WHEREAS, the University Libraries receive numerous requests for publications produced by the university and are often unable to provide these publications to those requesting them, and

WHEREAS, providing access to these publications through the library ensures that individual colleges, departments, and centers need not provide this service, and

WHEREAS, the publications sought include technical reports, working papers, conference proceedings, and other types of research publications officially produced by colleges, departments, and centers, but exclude documents pertaining to classified or proprietary research, or monographs or other publications by individual faculty members not officially produced by units in the university, and

WHEREAS, the library also seeks non-research oriented publications produced by various units of the university, such as promotional pieces, handbooks, newsletters, and departmental histories, and

WHEREAS, having two copies of publications will make it possible to have both circulating copies and non-circulating copies, ensuring that at least one copy will always be available;

THEREFORE, LET IT BE RESOLVED that the POLICY ON LIBRARY DEPOSIT COPIES OF UNIVERSITY PUBLICATIONS become university policy, effective immediately.
